It is mandatory that the Proponents attend the mandatory portion of the site visit (University of Ottawa Campus). Each Proponent will be limited to sending not more than one representative to attend each of the two portions of the site visit. The following rules shall apply:
- Proponents shall meet at the entrance of Tabaret Hall at 550 Cumberland St, Ottawa, ON no later than the time indicated in Article 1.5 (Procurement Schedule).
- Each Proponent is required to attend and register their attendance. Any Proponent arriving after the site visit has begun will not be permitted to join the group and will be disqualified. As parking may be limited, Proponents must allow sufficient time to find parking and shall consider and assume that they might not find an available parking spot on site and in time. Proponents must also allow sufficient time to consider unforeseen traffic delays. The University will not, under any circumstances, be responsible for any incidence preventing the Proponents from attending the site visit on time.
- Failure by a Proponent to attend each part of the mandatory site visit shall result in the disqualification of the Proponent. Proposals from disqualified Proponents shall be declared non-compliant and will not be evaluated.
- Proponents attending the mandatory site visit must remain with the group for the entire duration of the mandatory portion of the site visit. Failure to remain in attendance for the entire duration of the mandatory portion of the site visit shall result in disqualification of the Proponent.
- The mandatory portion of the site visit is anticipated to take approximately one (1) hour(s) but may run a little shorter or longer in time.
- Representatives of the University will be in attendance.
- Proponents are advised to refrain from posing questions during the Site Visit, as any answer given during the site visit will not be considered official. All RFI or clarification requests are to be submitted via MERXTM, at which point the University will issue official responses in the form of addenda issued to Proponents via MERXTM.
