You are invited to submit a PROPOSAL in PDF format to Good Shepherd as set out in the attached Request for PROPOSAL (RFP), in accordance with the relevant specifications of the RFP, as well as the following conditions:

Should you wish to elaborate on your PROPOSAL you may do so separately on your letterhead and attach this to your PROPOSAL

Should you wish to elaborate on additional services pertinent to Good Shepherd, these can be described, with costing, on your letterhead and be attached to your PROPOSAL.

Your signed submission shall be taken as your statement that you understand the requirements and agree to comply with same

Bidders must complete and return the NOTICE OF INTENTION TO BID/ SUPPLIER’S AUTHORIZED REPRESENTIVE FORM by 4.00 pm, July 31, 2024.

At the end of the process, all SUPPLIERS will receive brief written details confirming the RFP results.

Additional Bidding Instructions

The SUPPLIER is requested to identify one senior individual by name, address, e-mail and telephone number who will act as the SUPPLIER’s primary contact with the COMPANY with regard to this RFP. The SUPPLIER is instructed to identify this individual (please refer to page 15) and return to the COMPANY via email at cmarin@gsch.ca, the RFP Coordinator for this exercise. The SUPPLIER is responsible for understanding all aspects of the RFP and obtaining clarification, if necessary, before submitting their PROPOSAL. Carolina Marin will provide responses to each question in written form to all SUPPLIERS. Questions throughout the process must be submitted in writing. These questions must be sent via email to, cmarin@gsch.ca up to August 30, 2024, at 4 pm. No questions regarding the RFP will be responded to after this date and time.

Any revisions to the RFP process, request, or substantial new information made available after the start of this process shall be sent to each SUPPLIER as an addendum by e-mail. Only information provided in the form of addenda shall be considered to modify the contents of the RFP or process.

The SUPPLIER is put on notice that:

The RFP Coordinator is not authorized to amend or waive the requirements of the RFP document in any way;
Under no circumstances shall the SUPPLIER rely upon any information or instructions from sources other than the RFP Coordinator; and
The COMPANY shall not be responsible for any information or instructions given to the SUPPLIER, with the exception of information or instructions provided in writing by the RFP Coordinator.

Preparation of the RFP;
Issuance and distribution of the RFP
Receipt of PROPOSALs submitted and presentation proposal
Evaluation of the PROPOSALs received, according to the provisions of the Scoring Matrix;
Selection and notification of the SUPPLIER, if any, recommended and chosen by us; and
Completion of contractual documentation where a SUPPLIER is chosen and an award confirmed
Distribution of feedback to unsuccessful bidders
