The University of Waterloo department of Athletics and Recreation is nearing completion of an expansion of the Physical Activities Complex (PAC). The new space will see the PAC increased to 15,000 square feet of fitness space in addition to existing fitness space in the University’s secondary building Columbia Icefield (CIF). The two facilities see on average 200,000 visits a year from the University community with an increase expected as a result of the expansion in PAC. Additional activity takes place at the Velocity Building in Kitchener and Architecture Building in Cambridge.
The Athletics & Recreation department requires a variety of commercial-grade workout and fitness equipment including but not limited to cardio, strength training and accessories. All cardio equipment will be leased while the balance of the equipment purchased. It is expected that leased equipment will be arranged as part of the bid. Exact quantities of items are to be confirmed based upon submission prices, however we are budgeting approximately $450,000 on purchases and lease approximately an annual spend of $150,000 of equipment.
Life span of the equipment, reliability and down-time, warranty coverage, and the ongoing maintenance costs will be considered in the evaluations of proposals. For equivalency, bidders are expected to compare the warranty, durability and reliability and similar aspects of equipment quality to prove substantial equivalency for any alternate equipment proposed. Please include any enhancements to your equipment that adheres to AODA standards.
The successful bidder will be required to deliver the equipment to the 2 fitness center locations on campus (Waterloo, Ontario) as well as the two satellite campus buildings in Kitchener and Cambridge. Most of the equipment will be delivered to the PAC building where there is no loading dock but oversized doors at ground level and elevator access. In addition to delivery, full installation and set-up, and provision of training to Athletics & Recreation staff on any specific features and functions is required. The delivery on campus may also include the relocation of some existing equipment between facilities. Estimations for delivery are somewhere between December 2020 and February 2021 as a result of ongoing construction. It is expected that there will be no additional costs to fulfill the variation in this timeline.
The University is looking for value add components increasing the appeal of the submissions including but not limited to custom logos and/or colours on equipment, technology improvements or subscriptions, enhanced warranties, preventative maintenance packages, asset management, sponsorship proposals or scholarships. Please outline any such program.
All equipment proposed herein must be entirely new. Bidders wishing to propose demo, newly-manufactured, or other previously used, whether fully or partially, equipment and/or components should do so via the alternative bid option.
