Requirement

The City of Ottawa, Police Services (the “City” or “OPS”) has a requirement for the Supply and Delivery of Under Molle Duty Shirts (the “Goods”) on an as and when requested basis, and in accordance with the Specifications, Terms and Conditions herein.

This bid is being called by the OPS as the lead agency on behalf of the Ontario Police Cooperative Purchasing Group (PCPG). For the purposes of this bid, the OPS is the legal entity facilitating and preparing this bid document. It must be clearly understood that by submitting a bid in accordance with this document, the respective respondent is agreeing that other interested PCPG members may review the respondent’s bid and may choose to enter into a contract with the Supplier under the same terms and conditions.

Tender Closing Date

All tender submissions must be received at the location indicated below no later than 3:00 P.M. local time on Tuesday, 05 June 2018. Late tender submissions will not be accepted and will be returned unopened. Tenders submitted by email or facsimile will not be accepted.

Tenders will be publicly opened at the location noted above after 3:00 p.m. on the Tender Closing Date.

Samples

Bidder(s) shall provide, at their sole expense, a sample consisting of one (1) Large Under Molle Duty Shirt prior to award of contract. Bidders should arrange to have samples delivered prior to the Closing Date of this RFT. All samples shall be shipped to:

Inquiries

All inquiries regarding this RFT are to be directed in writing the Contracting Authority specified herein. Inquiries must be received in writing not later than Tuesday, 22 May 2018. Bidder Meeting

A Bidders meeting will be provided to Bidders with an opportunity to examine a sample Under Molle Duty Shirt in order to ensure all are aware of the details and services expected of them. Meeting will be held at the following location and time:

Date: Wednesday, 09 May 2018
Location: Main Lobby, Ottawa Police Service, 4561 Bank Street
Time: 10:00 am to 11:00 pm

Bidders who do not attend the site meeting will not be precluded from submitting Bid.

Prospective Bidders planning to attend the meeting should register and email the following information to the Contracting Authority no later than 4:30 p.m. on the Monday, 07 May 2018:

Attendee’s full name;
Job title; and
Company name

The Bidders Meeting may be cancelled if the Contracting Authority does not receive confirmation to attend by any Prospective Bidders by the deadline as noted above.
