Offer Preparation and Submission Instructions
1 All offers must be submitted electronically via the MERX Online Tendering System to the Administrative Authority, identified herein.
2 All Offerers must:
2.1 Download, complete and attach a copy of the Price Schedule “A” Ext 1 in Excel format to their offer submission;
2.2 Download, complete and attach a signed Form of Standing Offer (Part C- below) to their offer submission;
2.3 Download, complete and attached Annex A Ext 1 Specifications to their offer submission; and
2.4 Complete and/or attach to their offer, any confirmation of Specifications and/or supplemental information/literature, either as required herein or as deemed by an Offerer to be relevant to their offer. Should such additional information, however, in anyway qualify or restrict the offer it may result in the offer being declared incomplete and irregular, and removed from consideration
2.5 No other Form of Standing Offer, other than those specified in 2., will be accepted. Any other form of offer submitted will be declared informal. All electronic documents must be submitted in Microsoft Word, Microsoft Excel or Adobe PDF formats ONLY.
2.6 Offerers shall ensure that all sections of the Request for Standing Offer are completed, as required. Offerers who omit a Firm Unit Price for a Work Vehicle ID, will not be considered a Supplier for that Work Vehicle ID.
2.7 Offerers who provide a Firm Unit Price for a Work Vehicle ID but omit a price for any stated option, will still be considered a Supplier for that Work Vehicle ID.
2.8 Offerers who are able to provide stated options, shall ensure the Manufacturer Code and option pricing is provided in the Price Schedule. If an option is only available as a package, the Offerer shall provide the full package price. If two (2) or more options that the City requested come as a package, the Offerer shall use the same Manufacturer code for those options, and shall provide a package price in the appropriate column.
2.9 Documents which contain prices, which appear to be as unbalanced as likely to affect adversely the interest of the City, may be rejected.
