Submission Requirements
Electronic submissions will be accepted until 1:00:00 P.M. May 17, 2023 Local Time. as per the clock identified on MERX.
Your submission for this opportunity must be sent to TPS through the use of the MERX portal. Respondents shall be solely responsible for the delivery of their submission using the MERX portal by the time and closing date, in accordance with the Submission Requirements outlined in the RFP.
TPS reserves the right to reject any or all responses at its sole discretion.
Scope of Work
This Request for Proposal, issued by the Toronto Police Service, is to obtain a Vendor for the For Supply & Delivery of DVD-R & Accessories.
Historically, TPS has required the following annual quantities on an average basis:

Mandatory Requirements
1.1 All DVD’s must be Grade A type
1.2 Each disk must be a single sided recordable DVD_R
1.3 Any defective discs must be replaced at no charge
1.4 DVD-R media must be multi-speed
1.5 Bar codes used must be compatible with bar coding
system currently in use by TPS, using bar code Symbology Code 128B
1.6 Bar code is to be opposite of TPS Crest and both
Centered on DVD-R
1.7 Serial numbers are 4 alpha 8 numeric characters with no
spacing
1.8 Individual disc cases will not be wrapped in a material such as
cellophane.

Contract Term
The term of this contract is for a 1 (one) year period commencing upon award of the contract starting from Thursday May 25, 2023 until May 24, 2024.
TPS reserves the right to renew the contract for an additional two 1-year period. The renewal is contingent upon continued need, budget approval, acceptable performance and TPS approval if applicable. Pricing shall be firm for the initial 1 (one) year period.
Piggyback
The TPS may, upon request, permit other publicly funded organizations to purchase against any contract which may result from this RFP.
Proponents are requested to indicate on the Pricing Submission Form if they will extend the pricing, terms and conditions of this proposal to other government agencies, if the proponent is the successful vendor. If the successful proponent agrees to this provision, participating agencies may enter into a contract with the successful proponent for the purchase of the services described herein based on the terms, conditions, prices, and percentages offered by the successful vendor. Minor changes in terms and conditions may be negotiated by participating agencies.
