Description

REQUEST FOR INFORMATION (RFI) # 2022-06

Objective
This RFI has the following objectives:

Understand the solutions available in the market;
Obtain information on potential new technologies and approaches that could provide the Toronto Police Services Board (TPSB) an opportunity to optimize business processes and efficiencies; and
Obtain detailed non-binding cost estimates for budget purposes.

Respondent Participation
TPSB encourages participation from potential suppliers in this RFI process and should include a written response that is relevant to this RFI.

RFI Intent
The intent of this RFI is solely to gather information and does not form a competitive bid process or legal offer.

In the event the TPSB is satisfied that there is sufficient interest, availability and feasibility of providing suitable solutions, the TPSB may, but is not obligated to initiate a competitive bidding opportunity. It is important that respondents understand that this RFI document and their participation by responding is not interpreted or construed as a solicitation for tenders or proposals, but rather an information gathering exercise.

TPSB encourages participation from potential solution providers in this RFI process, which will be reported to an evaluation committee. In turn, the committee will consider submitted responses when determining whether or not to initiate a competitive process to solicit bids for all or part of any of the areas that fall under the Board Management Solution.

This RFI will not be used to pre-qualify or screen respondents in connection with a future competitive bidding process, if any is to be initiated by the TPSB. It is the respondent’s responsibility to monitor the MERX website at www.MERX.com for possible subsequent bidding opportunities, which will be open to the public whether or not a response to this RFI is made.

Submissions are to be made through the MERX Electronic Bid Submission (“EBS”) System (https://www.merx.com).

Uploading large documents may take significant time, depending on file size and internet connection speed. It is recommended that respondents review the MERX EBS instructions well in advance of the closing date and allow sufficient time before the closing date to upload documents and finalize their submissions.

Respondents will receive an email confirmation receipt with a unique confirmation number upon finalizing their submissions.

Submission Deadline
Respondents are to make their submission through the MERX EBS System prior to 1:00:00 P.M. local time on Monday September 26, 2022.
