Request for Proposals (RFP) for Exhibition Design Services for the “Outside the Lines” Travelling Exhibition

The Museum is seeking Proposals from potential firms who have managerial and technical experience in providing exhibition design services for the Outside the Lines travelling exhibition in Ottawa, Ontario, Canada.. This is a one-step two-envelope submission process (Technical and Financial) to select the highest ranked Proponent who may then be invited to negotiate or to enter into a Contract with the Museum.

The selected Contractor will be required to deliver the Services described in the procurement documents including, but not limited to, the following services:

Retains the original thematic structure, design language and approach as the basis for adaptation.
Delivers flexible floorplans/layout (2) that adapt to different venues of 140 m2 (1500 ft2).
Integrates artworks, audiovisuals and digital interactives.
Repurposes existing exhibitry from the original exhibition, when possible.
Provides detailed drawings of all exhibition components to be produced, including 3D scenographic elements and elevations, shipping crates, hardware and fabrication drawings, specifications, etc. A clear numbering system that accounts for every item for ease of installation/dismantling will be required.
Provides adapted graphic solutions, including a sample of every panel type (Zone, Theme, Caption, Credit, etc.), colour palette, typography, dimensions, and point sizes, printing specification and production files.
Presents a graphic layout that accommodates a French or English first bilingual presentation, with no preference given to either language.
Takes transportation, handling and ease of installation into consideration (guidelines will be provided by CWM).
Has an installation manual that includes all components in the exhibition, with a numbering system, schematic drawings of possible layouts, and instructions.
Develop an accessibility element for the travelling exhibition (TBD) and promotional materials.

To be considered, Proposals must be received before the Closing Date and Time noted in the MERX ad through the MERX Electronic Bid Submission System. Refer to the Instructions to Proponents for all associated details.

Information provided by the Proponents will be evaluated using the established criteria in the RFP. The criteria relate to previous achievements and experience, as well as technical and managerial expertise.

It is anticipated to provide the Deliverables and complete the work by August 2025. Refer to the procurement documents for further details.

Firms that consider themselves qualified to provide these services are invited to submit their Proposals on the forms that are available through MERX or as directed in the procurement documents.

The Museum retains the right to negotiate with the Proponents on any aspect of the procurement.

Proposals may be submitted in either official language of Canada.

Proponents can obtain the award result once posted on MERX.
