Description

Public Services Health & Safety Association (PSHSA) is evaluating training management system (TMS) solutions that will be able to integrate into our training business.
Our organization provides instructor-led training in classroom and via distance learning (zoom), and eLearning. Participants access materials, training session information and relevant links through a Learning Management System (LMS), currently TalentLMS. See the Appendix for a fulsome overview of our business.
Recently, PSHSA implemented TalentLMS as well as implemented changes to web searching, shopping carts / payment systems. PSHSA seeks to expand functionality with out of the box registration and payment systems (TMS).
Delivery Methods
eLearning: Self-paced learning in an eLearning format. On demand learning.
Instructor-Led Training: PSHSA health and safety consultants / instructors deliver training to participants.

Distance Learning: Delivering the actual session via a 3rd party conferencing solution (Zoom in our case)

In Person Learning: Delivered at PSHSA’s training office, at a hotel / conference centre (3rd party venue), or at a client site directly.

Blended Learning: A combination, generally, of eLearning and instructor-led training. A few variations:

A participant must include the eLearning portion first before completing the instructor-led training portion. Typically, payment for both can happen at the same time to achieve a discount. However, in practice often registration for a particular instructor-led training portion is selected after the eLearning is completed.
A participant must fist complete either or both eLearning and/or Instructor-Led training portion of the course, and then must have a practical evaluation (distance or instructor-led)

Webinars: These are like distance learning training courses, however there is typically no evaluation of knowledge, less learning-based and more information-based or for guest speakers. Occur periodically, low revenue.
Web Tutorials: Short, online learning (a short version of eLearning, videos) that are typically offered via the website. Approx. 15-30 minutes. Self-paced, on demand.
Types of Business Lines
Regional: PSHSA offers a number of portfolio courses – courses that we design and offer to anyone who wishes to register and take the courses. Typically purchase online, both individual and group.
Onsite: Some organizations, particularly that have large staff levels, or even thoughts that have centralized health and safety, choose to have sessions for their own staff only. PSHSA can deliver instructor led-training onsite (at their physical site), or via distance learning for only their staff.
Onsite delivery mode has a contracting component before registration and delivery processes.
There are a few variations:

One or more sessions of a single portfolio course (e.g. a standard offering)
One or more sessions of multiple portfolio course – the participants may or may not attend the same course.
One or more sessions of a single or multiple custom courses.
One or more sessions of a mix of portfolio and custom courses.

Combo: An Onsite session (or sessions) where the client is also allowing PSHSA to post it on our website and allow registration externally. This normally happens when the client wants an onsite session, but either does not have enough participants to hit a minimum threshold, or because they have space want to get a discount for allowing others to join.
There are generally two variations:

As described above, a single customer opens part of the onsite registrations to external parties (usually the case).
Specific courses that have content for a particular sub-sector that we serve / set client groups / a large client that operates across the province via stand-alone branches. These courses are only to be available to those sectors, typically done through password protecting them and/or offering specific discount codes to the relevant organizations.

eLearning: Technically, PSHSA considers eLearning both a business line and a mode of delivery.
Types of Courses
Certification / Standards-Based: Compliance based courses. PSHSA offers the courses on behalf our Ministry partner. These may be offered via eLearning or as instructor-led.
As part of the courses:

PSHSA must gather information about each participant such as name, address, personal contact information and birth year to validate the individual is who they say there are while, on PSHSA side, maintaining privacy and confidentiality of information.
Validate attendance on each component of the course (e.g. if a 3-day course then each day)
Issue a ‘test’ of knowledge.
For those who passed the test, provide hat information via BlueDrop to our Ministry partner so that they can provide certification.
Provide reports to the Ministry partner on registrations, completions, passes, sessions, etc.
Note: often certification is ranted after multiple courses are complete, thus PSHSA must have the ability to track each individual participant, and provide the Ministry with such.

These courses are part of PSHSA’s portfolio.
Non-Certification: Other courses in our portfolio of courses, in eLearning or instructor-led. Courses can range from ½ a day generally to up to 3 days or more.
Custom: These courses are, for the most part, made specifically for one, or a few, specific customers. Generally contracted. Pertain to our subject matter, but may very in:

Duration of course
Content / focused examples.

Custom is only a small portion of the business.
Registrations
Individual: someone finds a course on our site, finds from social media, is provided a link and registers themselves for a course (about 60% of the business)
Group Registration: Someone registers a group for one or more courses, for one or more sessions. This can be a regional registration, or for an onsite.

Need to be able to distinguish between biller (and create a profile for them) and the participants
Before the course, have to register each participant in a way that captures the correct information based on type of course.
Have to be able to accommodate transfers, etc.
