GENERAL REQUIREMENTS OF THE VENDOR
1. Duties and Responsibilities
1.1. The Vendor will provide the Security Service duties, in the frequencies, as outlined in Schedule of Work.
1.2. All Security Services are to be conducted in a manner that facilitates minimal inconvenience to students, staff, and the general public.
1.3. All doors to rooms, private or general offices, etc., which must be unlocked by the Vendor or their employees, must be kept locked during the performance of their duties. No gang unlocking of doors is permitted.
1.4. The Vendor is responsible to ensure that all doors are locked and lights turned off before leaving an area, unless otherwise specified by the College.
1.5. The Vendor Security staff shall, under no circumstances, allow access to any area or room to any person claiming to be an occupant unless approved by Assistant Director, Facilities and Ancillary Services or their designate.
1.6. The Vendor is responsible for reporting the following to Facilities:
1.6.1. visible wall cracks, paint blistering or bubbling, and other building structural damage,
1.6.2. burned-out or flickering lamps and spent ballasts,
1.6.3. broken electrical outlet covers, electrical switches, door hardware and hinges,
1.6.4. loose or missing baseboards, corners, and floor tiles,
1.6.5. damaged furniture and damaged or faulty appliances,
1.6.6. missing or damaged ceiling tiles,
1.6.7. missing or faulty directional signage, building cautionary signage or other building and/or occupant identification signage, and
1.6.8. all vermin, insects, or other pest control problems.
1.6.9. any other damages as noticed by the Vendor
1.7. In the case of vandalism within or outside Northern Lakes College, Slave Lake campuses, the Vendor shall report immediately such vandalism to Facilities and Ancillary Services department.
1.8. The Vendor shall be responsible for its employee’s personal belongings while they are on Northern Lakes College premises.
1.9. Successful Vendor to ensure the guard on duty carries a mobile phone to ensure emergency response and communication at all times.
1.10. Establish a uniformed presence in Northern Lakes College for the purpose of responding to complaints of visitors regarding acts of rowdyism, breaches of the peace and other untoward incidents.
1.11. Monitor all exterior doors of building on site for any breach of security.
1.12. Deal with the public diplomatically and with authority when required.
1.13. Prior to daily shift completion check and ensure all exterior doors and windows are in the closed, locked position.
1.14. Monitor “No Parking” areas to ensure user compliance.
1.15. The Vendors’ employees are responsible for preparing and maintaining a log. This log would be maintained on a daily basis and forwarded to Facilities and Ancillary Services on a daily basis.
1.16. In emergencies, Vendors’ employees may have to administer first-aid to injured individuals.
1.17. General Maintenance to include but not limited to:
1.17.1. Replace light bulbs,
1.17.2. Tighten door hinges,
1.17.3. Replace screens/filters.
1.18. The College has serious concerns pertaining to the security of students, staff, the general public and property at the College. The Vendor or their staff shall not allow entry into any building or room at Northern Lakes College, Slave Lake campus but instead will direct individuals seeking access to contact Facilities and Ancillary Services unless previously authorized.
2. Hours of Work
2.1. The work outlined in Northern Lakes College, Slave Lake campus, Schedule of Work will take place during a work shift beginning at 7:30 a.m. to 11:00 p.m. Monday to Friday and 8:00 a.m. to 11:00 p.m. Saturday, Sunday and Statutory Holidays 8:00 a.m. to 10:oo p.m. as listed below:
2.1.1. Family Day
2.1.2. Good Friday
2.1.3. Easter Monday
2.1.4. Victoria Day
2.1.5. Canada Day
2.1.6. Civic Holiday
2.1.7. Labour Day
2.1.8. Thanksgiving Day
2.1.9. Remembrance Day
2.1.10. Days not requiring Security Services are Christmas Eve (Evening Shift), Christmas Day, Boxing Day, New Year’s Eve Day (Evening Shift), and New Years Day.
2.2. Additional work, as requested by the College, may take place outside the abovementioned hours of work.
2.3. Shifts or duties may be required to be revised on an eight (8) hour notice, due to special functions, events or requirements.
2.4. Security Personnel, while on duty, will take instructions from the Manager of Facilities, Operations and Maintenance or their designate as authorized by regulations.
2.5. The Vendors’ employees shall be and remain employees of the Vendor, who shall be responsible for the arrangement of reliefs and substitutions, pay, supervision, discipline, unemployment insurance, workers’ compensation, leave and all other matters arising out of the relationship between the employee and employer.
