Description

The intent of this RFP is to contract with agronomic services providers for The City of Calgary (The City), primarily for The City’s irrigated sports surfaces and parks open spaces. Services include maintaining large
sportfield’s turfgrass through services such as aeration, fertilization, topdressing and overseeding.

It is The City’s intent to evaluate and award this RFP as four separate schedules. The schedules, as well as the services associated with this, will be made up as follows:
Schedule A: Zones 1, 2, 3: Core Aeration, Solid Tine Aeration, Sand Topdressing and Fertilizing.

Schedule B: Zones 4, 5, 8: Core Aeration, Solid Tine Aeration, Sand Topdressing and Fertilizing.

Schedule C: Zones 6 and 7: Core Aeration, Solid Tine Aeration, Sand Topdressing and Fertilizing.

Schedule D: All zones: Overseeding, Fraze Mowing, Vertical Mowing, Deep tine, Deep tine shatering

Submit a separate Proposal for each schedule your firm is responding to. Clearly indicate on the cover page which schedule the proposal is applicable to.

The highest rated proponent will be requested to enter into negotiations for an Agreement with The City for the provision of the Deliverables. It is The City’s intention to enter into an Agreement with only one (1) legal entity. The term of the Agreement may include a PoC, with an option in favour of The City to renew the Agreement on the same terms and conditions for an initial term of up to two (2) years. After the initial term, The City will have an option to renew the Agreement on the same terms and conditions for three (3) additional one (1) year terms for a potential total term of five (5) years. It is anticipated that the Agreement will be executed within 30 days from the date the highest rated proponent is notified that it is the Negotiations Proponent.

This procurement process is not intended to create and will not create a formal legally binding bidding process and will instead be governed by the law applicable to direct commercial negotiations.
