Description

Notice is hereby given that the City of Abbotsford (the “City”) is contemplating making a direct award of a contract to SSP Converged Solutions Inc. (the “Service Provider”) for the following:

Maintenance and Support of Alcatel-Lucent Enterprise Phone System

The contract will be for one (1) year from January 01, 2025 to December 31, 2025 and the contract amount for the one year is up to a maximum of $66,476.49.

Previous Notice of Intents to Award a Contract

The City issues two Notice of Intents as follows:

The City issued a Notice of Intent to Direct Award – NOI 1220-2016-1887 – Maintenance and Support of Alcatel-Lucent Enterprise Phone System on September 24, 2021; closed unchallenged. The value of the contract for 2 years was $72,123.08. The total value of the contract was $431,651.59.
The City issued a Notice of Intent to Direct Award – NOI 1220-2024-3129 - Maintenance and Support of Alcatel-Lucent Enterprise Phone System on January 24, 2024; closed unchallenged. The value of the contract for 1 year was $64,878.37. The total value of the contract was $496,529.96.

Background

he current contract with SSP Converged Solutions Inc expired on December 31, 2024.

Scope of Services or Specifications

Telecom maintenance and support services for City of Abbotsford’s Alcatel-Lucent enterprise phone system. Includes 24/7/.65 support for:

Omni Enterprise PBX system, connectivity to remote nodes, backup, reporting;
Combination of 1200 digital, IP, analog, and virtual phones, across 12 facilities;
CX-E voicemail system w/Advanced licensing for voicemail to Exchange and O365 e-mail; and
ACD calling queue system

Rationale for Contemplating a Direct Award

To ensure continuity of maintenance and support of Alcatel-Lucent Enterprise Phone System and avoid any business operational disruptions due to a transition or change of supplier while the City prepares solicitation documents to issue to market in the first quarter of 2025.

Contract Value:

The value of the contract is expected not to exceed $563,003.45 CAD plus applicable taxes.
