Description:
York is seeking proposals from qualified Proponents for the supply, deliver, install, commission, service and support a Digital Audio System upgrade and the resulting audio system over the Term for the following main facilities:

Proscenium Theatre (Sandra Faire and Ivan Fecan Theatre)
Recital Hall (Tribute Communities Recital Hall)

School of Arts, Music, Performance and Design
York University, Accolade East Building
4700 Keele Street, Toronto, Ontario
York will only consider Proposal submissions received from Proponents who have registered with MERX (www.MERX.com) for this competitive bid. Proposal submissions from Proponents who have not registered and obtained this Bid Document directly from MERX will be disqualified.

Open tender whereby all interested Proponents may submit a Proposal, except for the limitation detailed below in “Conditions for Participation”.

Conditions for Participation:

Applica Solutions Inc. is not permitted to submit a proposal response as they assisted in the development of the scope of work and otherwise would be a conflict of interest.
Manufacturer Certifications being sought are the following or equivalent:

QSC Q-Sys Level 1 Certification
QSC Q-Sys Level 2 Classroom Certification
Audinate Dante Certification Level 1 – Introduction to Dante
Audinate Dante Certification Level 2 – Intermediate Dante Concepts

This procurement is covered by Chapter 5 of the Canadian Free Trade Agreement.

Delivery Date:
The Selected Proponent shall substantially complete the Work no later than the second week of July 2018. As the theatres are used in Student course curriculum it is imperative that the project be substantially complete before the Fall Academic Term commences.

Duration of Agreement:
Provide audio visual professional hourly rates over the Term of the Agreement. The initial term of the Agreement shall be for thirty-six (36) months, with two (2) optional twenty-four (24) month extensions; for a potential Term of eighty-four (84) months.

Available within the tender document.

Negotiation:
York reserves the right in its sole discretion to negotiate modifications to any Proposal received without becoming obligated to offer to negotiate with any other Proponent(s).

Responses must be submitted in English.

Proponents should note that information contained within this notice is subject to change. Proponents are encouraged to download the tender document which contain the most current information.

If there is a conflict between the RFP documents and this RFP Notice, the RFP documents will take precedence.

Interested Proponents must attend the Mandatory Proponent information meeting to familiarize themselves with the Project and ascertain the extent of the work required. Proposals submitted by Proponents that did not attend the mandatory site meeting will result in the disqualification of your submission. Individuals attending the meeting must sign in and clearly indicate in the sign in sheet the name of the firm they are representing.
