The University is soliciting proposals from consulting firms with expertise in identification, process decision mapping, process development and expertise with IBM Maximo.
Proponent must be able to provide the services in both official languages (English and French). Most interviews, presentations and work sessions will be conducted in French. Deliverables may be submitted in French or English.
Services include the following:
- Identification of all processes required (complete a formal process inventory)
- Define all problem, priority and response codes, equipment categories, response/completion matrices, expectations and service level agreements for key stakeholders.
- Complete analysis on current volume, timing, expectations to allow for workforce alignment and general data quality.
- Leveraging the 2017 consultant review, implement as many of the recommendations as possible and prioritize process improvements, redesign work order management processes, decision trees, assist in the implementation of these revised processes within Maximo and provide related change management support for the adoption of them by all teams.
- Identify new business and technical requirements for related system adjustments and communicate these requirements to the University’s system administrator or designated service provider,
- Deliver training materials and create expectations (cheat sheet) documentation for users, clients and external folks alike for optimized and standardized use and policing.
- Assist with the development of a Request for Proposal (RFP) document for the selection of an off-the shelf mobile application vendor for IBM Maximo,
- Assist with the technical review of mobile application proposals received and in the selection of the one meeting the established criteria and,
- Provide continued support and advice during the implementation of the application (e.g. support with the development of training materials, development of a support model),
- Assist with other needs identified by University as project evolves.
Work Order (WOs) creation, receipt, response, management (assign, coordinate, perform, close), invoicing, cost, and time and materials management are considered in scope.
Contract start date of October 15, 2019 with final deliverables anticipated to be in June 2020.
