Description:
The objective of this RFP is to provide professional portrait and class composite photographic services to graduating students at York.
Provide portrait and class composite photographic services to graduating students during the annual spring convocations, fall convocations and all year-round;
Ensure all students are photographed in the appropriate academic regalia, as detailed in Appendix B;
Provide each member of the graduating class with one (1) copy of the class composite photograph at no extra charge: composites should be available at the Spring ceremony receptions. Additional composites should be delivered to the appropriate college or faculty for distribution to students who are not able to attend convocation. In addition, the faculties and colleges require framed enlargements, at no extra charge to York, for the purposes of display;
York will only consider Proposal submissions received from Proponents who have registered with MERX (www.MERX.com) for this competitive bid. Proposal submissions from Proponents who have not registered and obtained this Bid Document directly from MERX will be disqualified.

Delivery Date:
Service implemented by a tentative date of January 6, 2025.
Duration of Agreement:
The initial term of the Agreement shall be for thirty-six (36) months, with two (2) optional twenty-four (24) month extensions; for a potential Term of eighty-four (84) months.

Negotiation:
York reserves the right in its sole discretion to negotiate modifications to any Proposal received without becoming obligated to offer to negotiate with any other Proponent(s).
