Request for Proposals (RFP) for Audiovisual Multimedia (AV/MM) Technical Support
The Museum is seeking Proposals from potential firms who have experience in providing technical support services “Audiovisual and Multimedia Support” in Gatineau, Quebec and Ottawa, Ontario, Canada. . This is a one-step two-envelope submission process (Technical and Financial) to select the highest ranked Proponent who may then be invited to negotiate or to enter into a Contract with the Museum.
The selected Contractor will be required to deliver the Services described in the procurement documents including, but not limited to, the following disciplines:
- Cabling: As required on-site Technicians with lift certification. Technicians would assist with the cabling of AV/MM elements in-gallery.
- AV/MM element installation: As required on-site Technicians to assist Museum staff with preparing the equipment prior to installation in gallery space. Once ready, Technicians will assist with the installation of the equipment in the space.
- Projection mapping and configuration: As required a Specialist to assist with the setting up of projection mapping installations in special exhibitions using WATCHOUT and other similar platforms.
- Control system programming: Work with Digital Technologies Team (DTT) with updating the Museums control system with a mix of Q-SYS and Crestron programming for permanent spaces, special exhibitions, and public spaces.
- On-call AV/MM Support: As required a Technician and a Specialist to assist with the audit of AV/MM infrastructure in both museums. Support the Museum’s DTD with required tasks to update infrastructure. Availability to be called to come on-site on weekdays and weekends.

To be considered, Proposals must be received before the Closing Date and Time noted in the MERX ad through the MERX Electronic Bid Submission System. Refer to the Instructions to Proponents for all associated details.
Information provided by the Proponents will be evaluated using the established criteria in the RFP. The criteria relate to previous achievements and experience, as well as technical and managerial expertise.
The Mandatory requirements for this project are identified in the RFP documents.
It is anticipated that the contract will be in place for a duration of two (2) years from the date of award. If mutually agreeable between the selected Proponent and the Museum, this Contract may be extended for up to two (2) additional one-year periods with the same terms and conditions.
Firms that consider themselves qualified to provide these services are invited to submit their Proposals on the forms that are available through MERX.
The Museum retains the right to negotiate with the Proponents on any aspect of the procurement.
Proposals may be submitted in either official language of Canada.
