Requirement

The Transit Operations Branch, Transit Services Department, of the City of Ottawa (herein referred to as the City) is requesting standing offer submissions from qualified Offerers for the Supply and Delivery of Biotechnology Cleaning Products (the “Goods”) on an as and when requested basis, in accordance with the Specifications, Terms, and Conditions herein

Inquiries and Addenda
All inquiries regarding this RFSO are to be directed to the Administrative Authority specified herein. Inquiries must be received in writing not later than 12 April 2022. Both the questions and answers will be distributed to all potential Offerers by way of written addendum, without identifying the source(s) of the inquiry. The City is not obligated to respond to an inquiry or question received after this time period has elapsed. The Offerer shall not be entitled to rely on any response or interpretation received from the City unless that response or interpretation is provided by the Administrative Authority by way of addendum. Any information given verbally by any person at the City shall be non-binding on the City.

Period of Standing Offer
The period for placing call-ups against this Standing Offer shall be one (1) year from 01 June 2022 and to 31 May 2023. If mutually agreed to by both parties, the agreement may be extended for two (2) optional one (1) year terms or a portion thereof subject to satisfactory performance and provided terms, conditions, and pricing are acceptable to the participants.

Virtual Credit Card Payment Process
The following process will be used to administer and pay for the invoices through this contract:

The Supplier will be setup with the City’s credit card provider, US BANK, to accept payment by virtual credit card;
Invoices are to be electronically submitted to ap-cf@ottawa.ca referencing the purchase order number and invoice contact name;
Once the invoice is reviewed and approved, an automated payment authorization notification email will be sent to the Supplier with the last four digits of a unique credit card number and a confidential link to obtain the remainder of the credit card number and expiration date;
The Supplier will open the confidential link, then log-in to a portal to obtain the remainder of the unique credit card number and expiration date in order to process each invoice;
The Supplier will process this unique credit card number similar to any other credit card payment for the exact amount of the invoice.
