Description of Services:
The Request for Information (“RFI”) is an invitation by Algoma University for the purposes of gathering information about the marketplace in order to assist in the determination of future procurement options or requirements for a wayfinding program.

Submission Details:
All submissions must be emailed to AU Contact by the Submission Date/Time listed in the RFP Timetable below.

Friday, September 15, 2023 by 2:00:00 p.m. (ET)
All times noted are Eastern Time Zone (ET). The RFP timetable is tentative only and may be changed by Algoma University at any time. All times are according to the Contact Persons’ computer clock.

Information Requested
Algoma University is seeking feedback from potential bidders as a last step before finalizing the requirements that could lead to a future RFP. We appreciate your participation in this requirements refinement process.
Algoma University's discussion topics and questions are as follows:
3.2.1 Draft Deliverables and Specifications:
3.2.2.1 Are the draft deliverables and specifications identified in Appendix B realistic and achievable?

Are there any requirements missing that you require to propose and price a solution?
Is it feasible to procure both static and digital wayfinding through a single procurement process?

3.2.2.2 Can your organisation provide all of the deliverables and meet all of the specifications, or would you require partnership with another supplier?

If not, please indicate which deliverables and specifications you could meet and which ones would require partnership.
Is there sufficient industry standardisation that would allow you to work with any potential partner(s)? If yes, at what level would it apply (e.g. national, global, etc.)?

3.2.2 Timelines and Implementation:
What is a realistic timeline to develop a Signage and Wayfinding program from a contract award date? Additionally, what is a realistic implementation timeline for the signage program?
3.2.3 Maintenance and Support Activities
Does your organisation have a local support network in and/or around the installation site in SSM, Brampton, Creekbank?
3.2.4 Pricing Methodology
Algoma University is not requesting pricing at this time. Our intent is to better understand how industry provides pricing for the solution/services envisioned in the subsequent RFP and to better understand how your organisation approaches pricing. Specifically:

Please describe your pricing methodology for the deliverables identified in this RFI.
What information do you require to develop your pricing to provide a competitive proposal?

3.2.5 Technology Roadmap
Algoma University is interested in exploring Digital Signage capabilities in the future:

What are the driving factors that AU should consider for this decision?
Please indicate if there are any other trends or upcoming changes to the industry that Algoma University should be aware of when developing an RFP
What sort of technology infrastructure would AU need to have in place?
Can digital signage be included in the same RFP as physical signage?

3.2.6 Fabrication and Installation:
AU would like to have Fabrication and Installation of all signage based on the approved Wayfinding Program.

Please indicate if this is something your organisation can deliver?
If not, please indicate if your organisation has partnerships in the industry to develop this.

3.2.7 Risks and Challenges:
Please identify key risks, challenges and other factors that are commonly encountered and identify how AU may mitigate these
3.2.8 Other Questions
Is there anything that would prevent you from providing a response to an RFP?

Responses must be submitted in English.
Suppliers should note that information contained within this Acquisition Notice is subject to change. Suppliers are encouraged to download the acquisition document(s) which contain the most current information.
If there is a conflict between the acquisition document(s) and this Acquisition Notice, the acquisition document(s) will take precedence.
