RFP 2018-49 – VoIP Telecom Infrastructure Upgrade

Description:
The Art Gallery of Ontario is soliciting proposals for a Voice over Internet Protocol (VoIP) Telecom Infrastructure Upgrade. The AGO seeks to upgrade our telecom infrastructure, namely our phone and voicemail PBX system, which includes our call center and IVR functionality.

The successful proponent will design and implement a detailed plan to meet AGO’s voice requirements. Specific focus will be placed on the following:

On premise, cloud hosted, or hybrid VoIP solution that includes voicemail, call center, and IVR functionality
Considerations for a dedicated line/pipe if required
Options for analog line support for alarm, etc.

The successful proponent will procure and supply all of the necessary hardware, software, licenses, maintenance and warranties for the VoIP solution; install and configure all associated hardware and software; and ensure Quality of Service (QoS) and successful deployment of the VoIP solution. Handsets and speaker phones should be bundled as part of the service fee for warranty and upgrade support. (Note: To reduce cost to the AGO, the proposed solution may use our existing Avaya handsets and speaker phones if the units are compatible with proposed system.)

The successful proponent shall complete the installation of the solution. Respondents should describe how this will be carried out including type of staff used, e.g. in-house staff, outsourced contractors, etc.

The successful proponent will provide training, documentation, and technical assistance to equip the AGO’s team for successful implementation.

The successful proponent will provide maintenance and support for a minimum of one year, with the possibility to extend for up to four additional years.

Conditions for Participation and Requirements to Request to Participate:
Candidates will be agencies or individuals that have thorough proven experience and success.

Preference will be firms or individuals that have demonstrated experience with the following technologies: VOIP, SIP Trunking, on-premise or cloud based solutions and hosted VoIP, Call Center Voice Processing, Unified Communications, and Mobile Device Management.

Candidates must be willing to plan and execute all work in consultation and conjunction with designated AGO Management.

Procurement Method:
Request for Proposals. The AGO reserves the right to negotiate. The AGO may request a Best and Final Offer (BAFO).
