Description
DVDs are used and required but not limited to the following interactions recorded with persons at a police facility: bookings, statements, interviews. As well as for downloading video from public space closed circuit television and any other type of video that can fit onto DVDs that can aid as a tool for investigations

Electronic submissions will be accepted until Friday October 18, 2019 at 1:00:00 p.m. local times per electronic bid clock identified on MERX.
Submission Requirements
Your submission for this RFQ # 1351579-19 must be sent to TPS using the MERX portal only. Respondents shall be solely responsible for the delivery of their submission using the MERX portal as per the electronic bid clock identified on MERX and the RFQ closing date, in accordance with the Submission Requirements outlined in the RFQ. Late submissions are not permitted. Any Bid submitted after the submission deadline will be rejected.
Mandatory Requirements
1.1 All DVD’s must be Grade A type
1.2 Each disk must be a single sided recordable DVD_R
1.3 Any defective discs must be replaced at no charge
1.4 DVD-R media must be multi-speed
1.5 Bar codes used must be compatible with bar coding
system currently in use by TPS, using bar code Symbology Code 128B
1.6 Bar code is to be opposite of TPS Crest and both

1.7 Serial numbers are 4 alpha 8 numeric characters with no
spacing
1.8 Individual disc cases will not be wrapped in a material such as
cellophane.

Discs to be shipped, as and when required, within 24 hours of order being placed.

Contract Term
The term of this Contract is for a 1 (one) period commencing upon award of the contract starting from January 1, 2020 until December 31, 2020 with an option to renew for an additional two (2) one (1)-year period based on performance and other indicators which may include Board approval. The product will be ordered on an as needed basis.
Non-Exclusivity
The creation of this RFQ shall not be a guarantee of exclusivity.
Piggyback
The TPS may, upon request, permit other Public Bodies to purchase against any Contract which may result from this RFQ. Bidders are requested to indicate on the Fee Summary form if they will extend the pricing, terms, and conditions of this Bid to other Public Bodies if the Bidder becomes the Contractor. The Contractor agrees to this provision, participating agencies may enter into a Contract with the Contractor for the purchase of the Goods described herein based on the terms, conditions, prices, and percentages offered by the Contractor. Minor changes in terms and condition, including shipping and delivery options, may be negotiated by participating agencies. Please note: copies of the Contractors submission may need to be provided to the interested agency (in confidence) in order to review prior to participating.
