Purpose
The Toronto police Operations Centre (TPOC) located at 40 College Street, Toronto, Ontario is seeking prospective and qualified proponents to submit proposals for Printer Management Services, as further described in this RFP.
Submission Method

Submission Deadline
Electronic submissions will be accepted until 1:00:00 p.m. on Tuesday, October 1, 2019 as per electronic bid clock identified on MERX.
Scope of Work
The Toronto Police Service (TPS) is to obtain a Vendor to service and maintain existing and new printers throughout the TPS.
As such, TPS is requesting proposals from highly qualified proponents with expertise in supporting and maintaining printers’ enterprise wide.
In addition, the selected proponent must also provide repairs and maintenance, toner and consumables and support to the TPS’ existing printers.
The proponent must be certified, trained and authorized by the original equipment manufacturer, dealer and/or distributor of print systems currently deployed throughout the service.
Appendix A: Mandatory Requirements
All proponents must complete and include the following with their proposal submission.
- Proponent must be an authorized service dealer / distributor for Lexmark Canada. (Letter of authorization must be attached to the proposal) TPS reserves the right to ask for an additional information from Lexmark in regards to the letter.
- Proponent’s personnel must have a minimum of two (2) years’ experience in print systems, installation, operation and maintenance.
Please attach copy of resume for each technician as well as the Account Manager and other key proposed personnel as these resumes are being evaluated.

3. Proponents’ personnel must be certified in the following area:
Lexmark print service installer / service technician.
* Please note, TPS may require, additional evidence to support certified Lexmark installers.
Term
The initial term of this contract will be for a period of three (3) years from commencement of services. The TPS reserves the right to extend the contract for two (2) additional one (1) year term based on performance and other indicators and will include Board approval.
Notwithstanding the above noted, the TPS retains the right to terminate any contract without notice for cause.
PIGGYBACK
The TPS may, upon request, permit other public bodies and the Police Cooperative Purchasing Group (PCPG) to purchase against any Contract which may result from this RFQ. Bidders are requested to indicate on the Fee Summary form if they will extend the pricing, terms and conditions of this Bid to other government agencies, if the Bidder becomes the Contractor. The Contractor agrees to this provision, participating agencies may enter into a Contract with the Contractor for the purchase of the Goods described herein based on the terms, conditions, prices, and percentages offered by the Contractor. Minor changes in terms and conditions may be negotiated by participating agencies. Please note: copies of the Contractors submission may need to be provided to the interested agency (in confidence) in order to review prior to participating.
