21-1685 - The Supply, Delivery and Maintenance of Small Lawn and Landscaping Equipment

1) This RFP is open to all interested Suppliers.
2) The City of Calgary (“The City”) requires a variety of small fuel and electrically powered equipment to be used by City employees for the maintenance and operations of various parks throughout the City. Maintenance and repairs of this equipment will also be required to ensure proper working order and minimal impact to operational requirements. The City requires a Supplier capable of the supply, delivery and maintenance of a variety of small and auxiliary equipment to be used to supplement internal operations as outlined in the below schedules:
• Schedule A – Supply & Delivery of Fuel Powered Equipment
• Schedule B – Supply & Delivery of Electric Powered Equipment
• Schedule C – Maintenance and Repair Services
When required, The City will reach out to each schedules Supplier to collaborate and finalize each Units specifications and options prior to ordering in order to ensure the accuracy of Units before delivery to site or service repairs commencing.
3) This procurement process is not intended to create, and will not create, a formal, legally binding bidding process. It will instead be governed by the law applicable to direct commercial negotiations
4) “Unless specified otherwise elsewhere in the Information Table under Agreement(s), Terms, Renewal and Proof of Concept (PoC), it is The City’s intention to enter into an Agreement with only one (1) legal entity. The Agreement may include a PoC for a period to be specified in the Information Table. The Deliverables are included in three (3) schedules. The City intends to enter into up to three (3) Agreements for the provision of the Deliverables. The Agreements will be for a term of two (2) years. The Agreements may be renewed for two (2) additional two (2) year terms, not to exceed a maximum of six (6) years. The Agreement will not include a PoC.
