PGT-RFP-20240321 - Multi-Functional Devices and Related Equipment Leasing & Servicing

The Public Guardian and Trustee (PGT) is seeking a single Contractor for the supply, installation, configuration and support of multi-functional devices (MFDs) and Scan-Only Devices (collectively the “Equipment”) for its Vancouver, Port Coquitlam, Kelowna and Victoria locations (collectively the “MFD Locations”).  The PGT is seeking to lease the Equipment where the Contractor will provide all toner, ink, preventative maintenance, and repairs.

Note that due to security concerns, the PGT cannot accept any Equipment that uses cloud-based technology.

The PGT expects that some customization may be required for integration with the PGT’s DocuWare system.  PGT staff training on the use of the Equipment is also required.

The term of the Contract is expected to be just over three years, with two three-year options to extend at the sole discretion of PGT.

NOTE:  This RFP was originally posted between February 2 and March 8, 2024.  As no submissions were received that met all mandatory requirements, none were evaluated.  This RFP has made a change to mandatory requirements to make it easier for Proponents to meet these requirements
